Privacy policy

This policy explains what personal information the ClickPower Client Platform (portal.clickpower.co.uk) collects, why, who it is shared with and how long it is kept. The platform is a private portal where ClickPower's clients see how their marketing and website are performing. It is used by invitation only.
Who we are
The platform is run by ClickPower Ltd, a digital marketing agency in the United Kingdom. For the personal information described here, ClickPower Ltd is the data controller. You can contact us about anything in this policy:

The information we collect
Your account. Your name and email address, the business you belong to and your role there. These are entered by ClickPower when you are invited, or received from Google or Microsoft if you choose to sign in with one of them. If you set a password, it is stored only in a scrambled form that we cannot read.
Sign-in records. When you last signed in, and the technical information any website receives, such as your IP address and browser type, which is used to keep the service secure.
What you send us. Requests, questions and replies you write in the platform, decisions you make on things we ask you to approve, and when you ask to hear more about a service.
How you use the platform. A short record of meaningful actions: opening a monthly report or a brochure, sending or answering a request, asking to hear more, and deciding an approval. We do not record page-by-page browsing, how long you spend on a page, or anything you do on other websites.
Questions to ClickPulse. If your account has ClickPulse, our AI assistant, we keep the questions you ask it and the answers it gives.
Your business's marketing figures. The platform shows figures about your business's website and marketing, such as visits, search rankings, reviews and enquiries. These describe a business rather than a person. Public customer reviews may include the reviewer's name as it was published.
Signing in with Google
If you choose “Continue with Google”, Google tells us your name, your email address and the address of your profile picture. We use these for one purpose: to confirm who you are and sign you in to the account ClickPower created for you.
- We do not receive your Google password.
- We do not ask for, or have, any access to your Gmail, Google Drive, calendar, contacts or any other Google data.
- We do not sell information received from Google, use it for advertising, or use it to train artificial intelligence models.
- We do not share it with anyone except the providers that run the sign-in and store your account, described below.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can remove the platform's access at any time in your Google Account, under Security, then “Your connections to third-party apps and services”. Signing in with Google only works for an email address that has already been invited.
How we use it, and our legal basis
- To provide the platform to you and your business: signing you in, showing your reports and figures, and handling your requests and approvals. Our legal basis is our contract with your business, and our legitimate interest in providing the service you were invited to use.
- To look after our clients: seeing that the platform is being used, answering requests promptly and following up when you ask about a service. Our legal basis is our legitimate interest in running and improving our service.
- To keep the platform secure: preventing unauthorised access and keeping a record of changes. Our legal basis is our legitimate interest in security, and our legal obligations.
- To contact you about your account: your invitation, and replies to requests you have sent. We do not send marketing emails from the platform.
We do not make decisions about you by automated means that have a legal or similarly significant effect.
ClickPulse, our AI assistant
ClickPulse answers questions about your own account. To write an answer, your question and the relevant figures from your account are sent to our AI provider, Anthropic, which processes them on our behalf. They are not used to train its models. ClickPulse can only read your own business's information and cannot see any other client's. Its answers are generated automatically and can contain mistakes, so please check anything important with us.
If you ask a question by voice, your speech is turned into text by your own web browser, which may use the browser maker's speech service to do so. The platform receives only the resulting text and does not record or keep audio.
Who we share it with
We do not sell personal information. We share it only with:
- People at your own business who have been given access to the same account, who can see the requests and decisions made on it.
- Providers that run the platform for us under contract, acting only on our instructions: hosting and database, sign-in (including Google and Microsoft if you use them), email delivery for invitations and replies, and our AI provider for ClickPulse.
- The services your marketing figures come from, such as website analytics and search tracking. We read figures from these; we do not send them your personal information.
- Authorities or advisers where the law requires it, or to establish or defend legal claims.
Some of these providers process information outside the United Kingdom, including in the United States. Where they do, it is protected by safeguards recognised under UK data protection law, such as approved contractual clauses.
How long we keep it
- Your account, requests, approvals and reports: for as long as your business is a client, and for a reasonable period afterwards so we have a record of the work, unless you ask us to remove it sooner.
- The record of how you use the platform: twelve months.
- ClickPulse questions and answers: twelve months.
- The record of changes kept for security: for as long as it is needed to show what was done and by whom.
If your access is removed, your sign-in stops working straight away. The history of your business's account is kept for the business.
Cookies
The platform uses only the cookies needed to keep you signed in and to keep the service secure. It also remembers small preferences in your browser, such as whether ClickPulse reads answers aloud. It does not use advertising cookies or third-party tracking cookies, and it does not track you across other websites.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong or out of date;
- delete it, or stop or limit how we use it, where the law allows;
- give it to you in a form you can pass to someone else.
You can also object to how we use your information. To do any of these, email info@clickpower.co.uk. We will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, though we would appreciate the chance to put things right first.
Security
Access is by invitation, and each person sees only the business or businesses they have been given access to. Information is encrypted when it travels between your browser and the platform. No system can be guaranteed completely secure, so please keep your password private and tell us straight away if you think someone else has used your account.
Children
The platform is for businesses and is not intended for anyone under 18.
Changes to this policy
If we change how we use personal information we will update this page and its date. For a significant change we will tell the people who use the platform. See also our terms of use.
